Use AI Assistants
NuQloud AI can provide assistants in selected Talk conversations. Assistants can have different models, knowledge sources, tools, and audience rules. Your provider controls which capabilities are available and their retention and data policies.
Start with one clear request
- Open a conversation where the assistant is available.
- Mention its configured name and describe one goal.
- For a question about NuQloud or a document, ask it to check its assigned knowledge sources and identify the guide or file used.
- Wait for the result. If it reports a queue, avoid submitting the same request repeatedly.
For example: “Check the NuQloud setup guide and explain how to connect desktop file sync.” An answer based on general model knowledge is not verification of your provider's current server configuration.
Assistants may be personal or shared with approved groups, teams, or everyone. A shared assistant can require review before publication. Being visible to a group does not grant access to all group members' private files or messages.
Ask about files and knowledge
Give a safe filename or document title and say what you need from it. If several matches appear, choose the intended file. Available search can include assigned knowledge collections, permitted conversation documents, and configured wikis. It is not an unrestricted search of every user's cloud storage.
Review generated summaries against their source before using them for important decisions. Do not submit sensitive material until you understand where your provider sends model, embedding, conversion, and speech requests.
Transcribe audio, video, or a Talk recording
This requires configured speech transcription and the appropriate assistant tools.
- Attach media to the current message, or identify an accessible media file in NuQloud Files.
- For a Talk recording, provide the conversation and approximate date.
- Ask the assistant to show safe filenames/dates if the match is uncertain.
- Choose the file and request transcription. Review the output for mistakes.
Recordings may belong to the participant who started recording. If you cannot open the file in Files, ask its owner to share it appropriately. The assistant does not need blanket access to a recording server folder.
Calendar and Mail tools
Where assigned, assistants can help with native calendar operations and permitted Mail tasks such as message listings, threaded replies, folder moves, read flags, and received attachments. Supported actions vary by assistant and user access. Ask it to identify the exact calendar, event, folder, or message before changing it.
Mail contents and other private tool results must use a private response path. If that path is unavailable, do not ask the assistant to paste private messages into the shared conversation. A private result does not make earlier shared-room history, prompts, or conversation memory private. Start a private conversation when the request itself contains sensitive information.
Review approvals and results
When approval is required, read the exact action, target, and scope before confirming. An approval prompt is not a completed action. Wait for the reported result, and verify the resulting file, event, message, or other change.
An earlier or unrelated “yes” does not approve a different action. If a tool is unavailable, ask the provider or assistant owner to check its assignment and your permissions. Do not supply an administrator credential to bypass that boundary.
Troubleshooting
| Problem | First check |
|---|---|
| Assistant is missing or silent | Confirm it is active in that room, mention its configured name, and send one short text request. |
| It cannot find a document | Confirm your access and the assistant's assigned knowledge source; give a title or safe filename. |
| A transcription fails | Check access, media type, size/duration, and whether the speech service is configured. |
| A private Mail request cannot complete | Use a supported private conversation/result path and ask the provider to check the assigned Mail capability. |
| A requested action did not happen | Check whether it is awaiting approval, queued, failed, or explicitly unavailable; do not assume success. |
Report the assistant name, time with timezone, and redacted error. Avoid sending private transcripts, message contents, tokens, or full logs in a public ticket.
